5 Best Practices for Powersport Rental Agreements

In the powersports industry, a well-crafted rental agreement is crucial for protecting your business.

At Recreogo, we do our best to safeguard your business – that's why we've compiled a list of best practices for your rental agreement, as well as the ways that Recreogo can help.

1) Clearly Define Rental Terms and Conditions

  • When drafting your rental agreement, clearly define all terms and conditions related to the rental. This includes rental duration, pricing, insurance coverage, security deposits, and any additional fees or charges. With Recreogo, customers will need to agree to your terms and conditions before making their booking, so it’s important to make sure that you include all the relevant details.

  • Establish clear rental policies regarding reservation and cancellation procedures, late returns, fuel requirements, and equipment usage guidelines. Clearly communicate any restrictions or limitations, such as age requirements, licensing, and prohibited activities. Having well-defined policies helps prevent misunderstandings and promotes a positive rental experience

  • Another important factor to consider adding is any non-refundable fees in case of cancellation. In our experience, many operators will add a non-refundable fee to all bookings to cover the credit card processing fee should any refunds need to be made.

2) Specify Rental Vehicle Details

  • In your listing on Recreogo, you’ll want to provide detailed information about the rented powersport vehicle, including make, model, year, and any specific features or accessories included.

  • You also have the option to add multiple photos to your listing, where the customer will be able to see the photo gallery and scroll through the images while in the booking process. This allows the customer to have greater visibility into their booking and is especially relevant for rentals like pontoons and campers. Additionally, for multi-day rentals, outline any maintenance and safety requirements to ensure the proper care and operation of the vehicle.

3) Legal and Insurance Considerations

  • Mitigate risks by addressing liability and insurance requirements in the rental agreement. Specify the responsibilities of both you and the renter in the event of accidents, damages, or injuries. Consult legal experts to ensure compliance with local regulations and insurance requirements.

  • It’s also important to stay informed about relevant laws, regulations, and industry standards governing powersport rentals in your area. Tailor your rental agreement to comply with local statutes and consumer protection laws. Consult legal professionals to review and update your agreements regularly to address any changes in regulations or emerging trends.

4) Include Waivers

  • Protect your business and assets with digital waivers. With Recreogo, you have the ability to assign different waivers to different types of equipment through our partnership with SmartWaiver

  • Once your waivers are set up and associated with your equipment, customers will be sent a link with their rental confirmation email to sign the appropriate waiver. They will also have access to their waiver via a unique URL that will show them the number of waivers they need to sign for their reservation.

  • After the customer has signed their waiver, it will be stored with their reservation. On your end, you’ll be able to easily see who has signed a waiver and who hasn’t. You’ll also be able to re-send the waiver to remind the customer via the Recreogo interface.

5) Provide Renters with Copies

  • We make this step easy. When bookings are made on Recreogo the customer will receive a copy of their signed agreement.
